Oracle has come up with wide variety of tools to effectively address the business needs. We can download all document records based on the document type or person name, or both, and optionally specify a date range. For example, we can download all document records for a specific person or\u00a0Document type such as passports for all person.<\/p>\n

Released on:\u00a0<\/strong>From 21D update Mass Download of Document Record is delivered Feature in Oracle HCM.<\/p>\n

Note:<\/strong>\u00a0Due to performance reasons, you can\u2019t download document records of all document types for all persons. You must specify either a document type or a person.<\/p>\n

Prerequisite Role and Privilege:<\/strong><\/p>\n

By default, all document types that are part of the user\u2019s document type security profile will appear in the Document Type list of values (LOV) when requesting a mass download of document records.<\/p>\n

You can restrict the list of document types that can be mass downloaded from the employment flow by configuring the\u00a0HCM Flow \u2013 Document Type Mapping\u00a0<\/strong>on the\u00a0Manage Enterprise HCM Information\u00a0<\/strong>setup page.<\/p>\n

This mapping applies to only\u00a0Mass Download of Document Records\u00a0<\/strong>page only.<\/p>\n

Steps to enable:<\/strong><\/p>\n

    \n
  • In the Setup and Maintenance work area, search and select the\u00a0Manage<\/strong>\u00a0Enterprise HCM Information<\/strong>\u00a0task<\/li>\n<\/ul>\n

    • Click\u00a0Edit<\/strong>, and then click\u00a0Correct<\/strong><\/li>\n<\/ul>\n

      • Navigate to the\u00a0 section<\/li>\n
      • Click the\u00a0Add Row\u00a0<\/strong>(+) icon.<\/li>\n
      • Search and select the\u00a0Mass download document records\u00a0<\/strong>flow and the document type.<\/li>\n<\/ul>\n

        • Repeat steps 4 and 5 to configure any additional mapping.<\/li>\n
        • Click\u00a0Submit<\/strong>\u00a0and then click\u00a0Yes<\/strong>\u00a0in the warning dialogue box.<\/li>\n
        • Click\u00a0ok<\/strong>\u00a0in the confirmation dialogue box, and then click\u00a0done<\/strong>.<\/li>\n<\/ul>\n

          Steps to download the documents:<\/strong><\/p>\n

          Step 1:\u00a0<\/strong>Go to My client Groups -> Click on \u201cMass Download of Document Records\u201d<\/p>\n

          Step 2:<\/strong>\u00a0Click the add button on the Mass Download of Document Records page to submit a new mass download request.<\/p>\n

          Step 3:<\/strong>\u00a0Select either Document type or Person name in the Request Details page.<\/p>\n

          Select Document type and select Group by option based on the need,<\/p>\n

          Document Type:<\/strong><\/p>\n

          Select the document type which document wants to download based on your need.<\/p>\n

          Ex:\u00a0<\/strong>Driver\u2019s License, Non-Disclosure Form, Assignment Form<\/p>\n

          Group by category:<\/strong><\/p>\n

          Based on the Group by criteria we select, the application will create download folders as follows:<\/p>\n

          None:<\/strong>\u00a0There are no download folders created and all downloaded files are saved in a single folder. This is the default option<\/p>\n

          Document Type:<\/strong>\u00a0\u00a0A download folder is created for each downloaded system document type. The folder name is the same as\u00a0the system document type. This folder contains individual\u00a0downloaded files for each person by each document type<\/p>\n

          Person:\u00a0<\/strong>\u00a0A download folder is created for each person. The folder name is the same as\u00a0the person number. This folder contains individual\u00a0downloaded files for each system document type. Group by individual person.<\/p>\n

          Person:\u00a0<\/strong>Select the person name which you want to download the Documents (If you want to download for specific person).<\/p>\n

          Record updated in date Range:<\/strong><\/p>\n

          Select the date range if you want to download records updated in specific date.<\/p>\n

          Then click on submit button then process will be submitted.<\/p>\n

          Step 4:\u00a0<\/strong>When you submit a mass download request, an ESS process is submitted. The status of the submitted process is displayed as Running, Succeeded, or Error.<\/p>\n

          Note:<\/strong><\/p>\n

          • The individual files within the zipped file have a default size limit of 5 MB. Attachments that are larger than 5 MB are not included in the download. This size limit is controlled by the ORA_PER_DOR_FILE_DOWNLOAD_MAX_SIZE profile option which has a default value of 5 MB.<\/li>\n
          • Profile option details<\/strong>: You can modify the value of this profile option to enable larger files to be included in the download.\n
              \n
            • Profile Option Code: ORA_PER_DOR_FILE_DOWNLOAD_MAX_SIZE<\/li>\n
            • Profile Display Name: Document Records File Download Maximum Size<\/li>\n
            • Default Profile Value: 5 MB<\/li>\n<\/ul>\n<\/li>\n
            • When a submitted mass download process succeeds, the attachments to download are available as zip\u00a0files.<\/li>\n
            • Document Records pending approval are not included in the mass download.<\/li>\n
            • The maximum size of each zipped file is\u00a01 GB. If the zipped file results in a size larger than 1 GB, the zipped file is split into multiple zipped files.<\/li>\n
            • File format used in the download folder: PersonNumber_SystemDocumentType_UCMID_PhysicalFileName. For example, 955160008186124_GLB_PASSPORT_UCMFA00027817_My India\u00a0Passport.pdf<\/li>\n<\/ul>\n

              Steps to download the documents for a specific person:<\/strong><\/p>\n

              You can also use the Download button on the Document Records list page to download document records for a person.<\/p>\n

              Download document records for a person directly from the Document Records list page. But we have some restrictions,<\/p>\n

                \n
              • Only the document records that you filtered on the page will be downloaded.<\/li>\n
              • Transactions pending approval won\u2019t be downloaded.<\/li>\n<\/ul>\n

                Step 1:<\/strong>\u00a0Go to My Client Group ->Person management then selects a person wanted to download the documents.<\/p>\n

                Step 2:\u00a0<\/strong>click on Document Records task then Document Records page will open<\/p>\n
